As we continue to grow, we are looking for a passionate and organized Executive Assistant to support the leadership team and help ensure the smooth operations of the business.
Position Overview:
As an Executive Assistant at COGNELITE, you will play a key role in supporting the day-to-day operations of the business while helping us further our mission to empower athletes and maximize their potential. This is a part-time position (20 hours per week) that requires someone with exceptional organizational skills, the ability to handle multiple tasks simultaneously, and a passion for supporting athletes and mental performance. Ideally, you have a background in athletics, especially as a former college athlete, and are enthusiastic about our mission to foster mental resilience and personal growth in athletes.
Key Responsibilities:
Executive Support: Provide administrative support to the executive team, including calendar management, scheduling meetings, and coordinating travel arrangements.
Communication & Correspondence: Manage and respond to emails, phone calls, and other communication on behalf of the leadership team.
Project Coordination: Assist with the planning and execution of special projects, such as program development, client communications, and event planning.
Operational Support: Help streamline internal processes, manage documents, and assist with the organization of workflows and systems.
Client & Partner Relations: Support the team in maintaining relationships with athletes, coaches, and business partners, ensuring smooth communication and follow-through.
Client Billing: Assist with invoicing and client billing processes, ensuring accurate tracking of payments, processing transactions, and sending Credit Card Authorization forms.
Data Management: Organize and maintain records, including tracking program enrollments, athlete progress, and performance metrics.
Event Assistance: Help coordinate virtual and in-person events, workshops, and training sessions related to Cognelite's mission.
Ad Hoc Tasks: Take on other administrative duties as needed to support the team and the organization’s needs.
Ideal Candidate:
Athletics Background: Former college athlete or someone with a strong understanding and appreciation for athletics and the mental challenges faced by athletes. Passion for the world of sports, mental health and performance, and personal growth.
Educational Background: A bachelor’s degree in a business-related field (e.g., Business Administration, Management, Marketing, or similar) is preferred.
Organizational Skills: Strong ability to prioritize tasks, manage time effectively, and stay organized in a fast-paced environment.
Tech-Savvy: Proficiency with office software, project management tools (such as Asana or other similar tools), and CRM software is a plus.
Communication Skills: Excellent written and verbal communication, with the ability to handle sensitive or confidential information with discretion.
Problem-Solver: Proactive and resourceful in anticipating needs and solving problems independently.
Passionate about the Mission: Strong alignment with COGNELITE’s purpose to help athletes build mental resilience, confidence, and perform at their highest potential.
Self-Starter: Ability to work independently with minimal supervision, while also collaborating effectively within a team.
Working Genius WT or DT: Looking for a candidate who is a Working Genius WT or DT.
